Do you email invoices, statements, vendor remittances, or other documents from Dynamics GP? Here's what you need to know.

What is the current state? If your organization is an Office365 or on-premise Exchange user and emailing is working, you're good to go!  If your organization uses Google Workspace, or another non-Exchange hosted service, your future ability to email documents from Dynamics GP may be impacted.

What is changing? Microsoft is releasing the new version of Outlook by the end of 2024. This version is a web-based version of Outlook and removes several legacy components, including the MAPI interface.

How does this impact me? Dynamics GP uses MAPI to communicate with non-Exchange based email services, including Google workspace. The roadmap for the new version of Outlook states that Microsoft intends to add support for non-Microsoft email services, but does not specify that this will be accomplished through a new version of MAPI.

The analysis is further complicated by the four-year vision for on-going Dynamics GP support. Microsoft states that they intend to support Dynamics GP through "2028 and beyond." We have separately heard from Microsoft support that MAPI support in Dynamics GP is deprecated and Microsoft support will recommend switching to the Exchange driver. This is not a solution that will work for non-Exchange users.

What can I do? While there is commitment from Microsoft to support the product through 2028 "and beyond," other technologies are in a legacy status and will not receive the same level of support. Your organization should be working on a five year plan to migrate from Dynamics GP. This can be a timeline of different lengths and to ensure that emailing continues to work during your transition period, Cargas recommends purchasing an add-on for GP called Accountable Forms Printer. Forms Printer has a native SMTP email interface, which will ensure compatibility with any email service.
